What Vestry does
Vestry is church administration in one private, joined-up place: people, calendar, rotas, giving, safeguarding, bookings, communications and the public website. Enter something once and it is right everywhere. This page explains each area in plain English, how to evaluate it, and how your data is looked after.
Updated October 2026. The live version of this page is at vestry.shire-tech.co.uk/guide.
People, households & groups
Free coreOne directory for everyone connected to the church — members, regulars, visitors and enquirers — instead of the office spreadsheet, the rota list and the newsletter list all disagreeing.
- ✓Contacts with tags, custom fields and saved segments ("members in a home group who gave last year").
- ✓Households and family links; birthdays and anniversaries on a monthly card.
- ✓Home groups and ministries with leaders and meeting times, plus per-group reports.
- ✓Visitor follow-up: new sign-ups move through welcome stages to membership.
- ✓Weekly attendance counts that feed the Church of England Statistics for Mission return.
- ✓Import from a spreadsheet, export to CSV, find and merge duplicates.
Calendar, events & What's On
Free coreThe church diary, with a public What's On page and event registration that update themselves from the same entries.
- ✓Services, events and private entries, with your own colour-coded event types.
- ✓Events can be opened for public registration with a capacity — RSVPs land in Vestry.
- ✓A church event can reserve rooms, or block out the whole building for several days (a holiday club or festival), so no hire can be booked over it.
- ✓Public calendar feed for phones and websites; internal notes stay private.
- ✓Printable week views for the noticeboard.
Rotas
Free coreWho's on this Sunday, with the gaps obvious at a glance and volunteers able to fill them themselves.
- ✓Roles per service; unfilled slots are flagged on the dashboard.
- ✓Volunteers sign up for open slots, or drop one they can't make, from their own portal.
- ✓Clash warnings if someone is put on two roles at once; templates generate a quarter's rotas from a pattern.
- ✓Automatic reminder emails before a duty.
Bookings & lettings
ModuleRoom hire from first enquiry to paid invoice, on a room-by-week diary the office can trust.
- ✓One-off and standing hires (weekly, fortnightly, monthly) that fill the diary about six months ahead and stay in step when the pattern changes.
- ✓Clash detection across rooms, including linked spaces such as a hall with a divider.
- ✓Public booking page where hirers see availability and request a slot; the office approves.
- ✓Hirer records, room rates, quotes and invoices with VAT, online card payment through the church's own Stripe, and automatic overdue reminders.
- ✓Key holders, per-booking checklists and a printable invoice work-list.
Worship & services
ModulePlan the service, keep the CCLI return honest, and give the AV team something to follow.
- ✓Song library with CCLI usage logged automatically as songs are used.
- ✓Service planner: songs, readings, talk and who's doing what, printable as a run sheet or exported for projection.
- ✓Sermon archive with passage, speaker and media link; a resource library of liturgies and outlines.
Giving & Gift Aid
ModuleEvery gift recorded once, funds tracked to target, and Gift Aid claimed without re-keying.
- ✓Record cash, cheque and standing-order gifts; card and recurring giving through a public giving page and QR codes.
- ✓Funds with targets and progress; pledges and stewardship campaigns.
- ✓Gift Aid claims batched with the HMRC Charities Online schedule ready to attach.
- ✓Donor statements for the year, branded with the church's details.
Finance & budgets
ModuleBudget against actual across funds, expense claims with receipts, and a year-end pack for the APCM.
- ✓Expense claims with a photo of the receipt; the treasurer approves or rejects, and only approved spend counts.
- ✓Collection counting to reconcile cash; accounting export for Xero, QuickBooks or a spreadsheet.
- ✓One-click year-end pack with the totals the PCC needs.
Safeguarding, DBS & training
ModuleWho is cleared to serve, what each role needs, and confidential casework kept apart from everything else.
- ✓DBS register with renewal dates, certificate numbers and the Update Service flag; reminders before anything lapses.
- ✓Requirements per serving role (which DBS level, which training), and a roster showing who's compliant.
- ✓Training records with expiry; volunteers can log courses done elsewhere for approval.
- ✓Confidential cases and an incident log with a sign-off workflow, visible only to the safeguarding team.
Children's check-in
ModuleSecure check-in and collection for children's groups, from a foyer tablet.
- ✓Each child gets a printed tag with a pickup code matched to a guardian tag.
- ✓Allergy and medical notes surfaced at check-in; consent forms kept per child.
- ✓A leader can override a lost tag; every collection is logged.
Pastoral care & prayer
Free coreA confidential log of visits and follow-ups, restricted to the people who should see it.
- ✓Notes by category and status; recurring care plans roll their next-due date forward.
- ✓Prayer requests submitted from the public site, with prayer-chain sharing only where consent was given.
- ✓A weekly email reminds the office what's due.
Messages, website & forms
Messaging is a module; website and forms are freeReach the congregation, run the public website, and collect anything you'd once have used a paper form or Microsoft Forms for.
- ✓Email and SMS to chosen audiences, scheduled or recurring newsletters, open and click tracking, and two-way SMS replies.
- ✓A built-in public website: editable pages and sections, images, menus, your branding, with services and events flowing on automatically.
- ✓A form builder with your own questions — choices, dates, yes/no, file uploads — branching rules ("only ask this if they said yes"), open/close dates, response limits, CSV export and answers that land in Contacts.
- ✓Automatic "we missed you" nudges and a visitor welcome sequence.
Buildings & maintenance
ModuleA register of your buildings and the jobs against them, so nothing is only in the warden's head.
- ✓Tasks with priority, owner and due date; overdue work is flagged on the dashboard.
Documents, data & privacy
Free corePolicies and minutes in one place, and the GDPR tools a data controller needs.
- ✓Documents marked public or restricted; PCC minutes, policies and risk assessments.
- ✓Consent records on every contact; subject access export and right-to-erasure in a couple of clicks.
- ✓Audit log of who changed what — deletions, safeguarding access, Gift Aid claims, role changes.
Member portal & phone app
Free coreEvery member can have their own login to see their duties, groups and giving, and keep their details current.
- ✓My duties, open rota slots, my groups and my giving history.
- ✓Opt-in photo directory where each person chooses what to share.
- ✓Installs on a phone home screen like an app; light and dark mode.
Team, roles & sign-in
Free coreAccess is by role, sign-in is by emailed code, and nobody gets in without being invited.
- ✓Roles for vicar, curate, wardens, treasurer, safeguarding, office and members, each seeing only its own areas; custom permission groups for anything finer.
- ✓No passwords: a 6-digit code by email each time. Only invited people can sign in.
- ✓Shareable sign-up links with a preset role, so a team can be onboarded from one message.
- ✓A setup guide, an in-app help centre, a What's-new popup when something ships, and a public roadmap you can vote on.
How to evaluate it
Half an hour is enough to form a view. In this order:
- 1Click around the live demo
It's a real, working church with sample data that resets every few minutes, so nothing you do there matters. Try the dashboard, the calendar, a rota, a booking, giving, and the member portal via "My portal" in the sidebar.
- 2Join your church's own Vestry
If your church already has an instance, whoever is running the evaluation will have a sign-up link for it. Enter your name and email, and a 6-digit code arrives to sign you in — no password. Unlike the demo, you can add real entries there.
- 3Try the things you actually do
Add a contact, put a service on the calendar, build next month's rota, record a gift, upload a policy. Then open the Help centre (? next to any page title) to see what each area is for.
- 4Look at it on a phone
Sign in on your phone, then use "Add to Home Screen". Most volunteers will only ever see the portal, so that is worth judging on its own.
- 5Bring questions
Anything missing, confusing or worrying goes on the Feedback button in the app or to support@shire-tech.co.uk. The public roadmap shows what's coming and lets you vote.
Data, cost & support
- Who owns the data?
- The church does. Vestry is the processor; the church is the data controller. Everything can be exported as CSV at any time, and a church can leave with its data.
- Where is it hosted and how is it protected?
- On dedicated servers hosted by Hetzner in the EU, managed by ShireTech. Each church has its own private space and web address — data is never pooled with another church. Daily encrypted backups with a tested restore, routine security updates, and a security audit before each launch. A data-processing agreement, privacy policy and terms are published.
- How do people sign in?
- By a 6-digit code emailed each time. There are no passwords to forget or leak, and only people the church has invited can sign in at all.
- What does it cost?
- The core is free for any church. Premium modules (giving, bookings, safeguarding, messaging and so on) are added per church. Pilot churches have everything unlocked at no charge while the pilot runs; anything beyond that is agreed with the church, not imposed.
- What about support and updates?
- Support is by email at support@shire-tech.co.uk. Updates ship continuously and each one is announced in the What's-new popup; nothing needs installing.
- Can we bring existing records in?
- Yes: contacts, giving and events import from a spreadsheet with a header row, and there's a duplicate finder for afterwards. Help with migrating from another system is available.
Read the privacy policy, terms and data-processing agreement.
Questions for the PCC meeting?
Send them over and we'll answer before you meet, or come and walk the PCC through it.
